Formatting Notes in Word

This only applies to the word application. Adding and editing notes in the online version of Word is more difficult. Please contact a librarian if you have questions.


  • Click where you want to insert your note
  • Click the References Tab
  • Click Insert Footnote or Insert Endnote depending on your assignment instructions
  • Word will take your cursor to the bottom of the page
  • Type in your citation. Word automatically adjusts to a smaller font and single spacing

  • Notes will automatically format using Roman Numerals. You want them use our traditional number system (1,2,3...)
  • Go to your first note
  • Hover over it
  • Right click
  • Look at the number format box
  • Change to 1, 2, 3,....
  • Click apply

Indentations in Word

Make sure your citations have the correct indentations:

  • Footnote/endnotes are indented in the first line.
  • The Bibliography has a hanging indent

To change the indentation:

  • Select or highlight all of your notes or all of the citations in your bibliography.
  • Right click
  • Click Paragraph
  • Under Special, click either first line or hanging indent
